Nursing Agency

We worked with a nursing agency to create a digital tool for managing shifts. The agency was using spreadsheets for management prior to our engagament. Spreadsheets were ideal when the agency was growing however the staff found it overwhelming to keep track of shifts. This led to nurses missing shifts and client's losing conviction in the agency's ability to deliver. We started the process by observing and interviewing back office staff working. This was quickly followed up by our UX/UI team creating low fidelity design. This step is critical in any project's success, enables for quick feedback from future system user and the opportunity to get the usability of the system right very early in the process. We prepared a proposal that included a Dashboard able to manage(create, edit) nurses, manage clients, manage system users, manage shifts(create, edit, swap and historical logs), manage payroll and manage handover notes. Mobile app used by nurses to view future shifts and track payments made by the agency. Project was delivered in six weeks with weekly demos and checkins. We first rolled out the dashboard to the backoffice staff, the uptake was swift and smooth. Staff members noticed within the duration of a week using the dashboard the communication between staff had improved and nurses were more informed. The mobile app roll out was done slowly because we had to train nurses how to use the app. The training was required because of the nurse's demongraphics, for example some of the nurses were over 60 years old and found it difficult using mobile phones.
